1. About this policy
Narrative Talent Limited (Narrative Talent, we, us or our) is a specialist recruitment and talent consultancy working across the public relations and communications markets in Australia and New Zealand.
We respect your privacy and are committed to handling personal information carefully, transparently and securely.
This policy explains how we collect, use, store and disclose personal information when you:

We handle personal information in accordance with the New Zealand Privacy Act 2020 and, where applicable, the Australian Privacy Act 1988 and the Australian Privacy Principles. Our electronic marketing practices are also governed by applicable anti-spam laws, including the New Zealand Unsolicited Electronic Messages Act 2007 and the Australian Spam Act 2003.
This policy is a notice about our privacy practices. Where consent is required for a particular activity, we will request it separately.
2. Personal information we collect
Personal information is information about an identifiable individual.
The information we collect depends on the nature of your relationship with Narrative Talent.
Candidates and prospective candidates
We may collect:

your CV, employment history, education, skills and professional experience;

your current role, salary expectations, availability and career preferences;

information about your right to work in Australia or New Zealand;

applications, interview notes, correspondence and feedback;

work samples, professional profiles and publicly available career information;

information provided by referees, with your knowledge or authority;

assessment or background-check information where relevant and authorised;

information about roles, employers or working arrangements that interest you; and

any other information you choose to provide.
We do not require sensitive information unless it is relevant and reasonably necessary. If you provide information concerning health, disability, ethnicity, criminal history or another sensitive matter, we will handle it with additional care and seek consent where required. This may include information provided to support workplace adjustments or an inclusive recruitment process.
Clients, prospective clients and professional contacts
We may collect:

your name, position, organisation and professional contact details;

information about your organisation, team, hiring plans and recruitment requirements;

records of meetings, conversations and correspondence;

contractual, invoicing and commercial information; and

professional information that is publicly available or provided through business networks.
Website visitors, guide recipients and subscribers
We may collect:

whether you are a hiring leader, candidate or other professional;

your market and content interests;
-
your guide downloads and subscription choices;
-
the date, time, source and method of your consent;

information you submit through website forms;
-
your communication preferences and email engagement; and

3. How we collect personal information
We generally collect personal information:

directly from you through conversations, meetings, emails, applications, forms and interviews;

through our website, LinkedIn, job advertisements and professional networking platforms;

from referees or assessment providers with your authority;

from clients in connection with recruitment processes;

from publicly available professional sources, such as agency websites and LinkedIn;

from job boards, recruitment platforms or third parties authorised to provide it; and

automatically through website cookies, analytics and similar technologies.
Where we collect information about you from another source, we will take reasonable steps to make you aware of the collection where required by law.
You do not have to provide the personal information we request. However, without relevant information, we may be unable to assess or represent you for an opportunity, respond to your enquiry, provide consulting services or deliver a requested resource.
4. How we use personal information
We may use personal information to:

provide recruitment, executive search, talent advisory and market-intelligence services;

assess your experience, interests and suitability for potential opportunities;

identify and discuss opportunities that may be relevant to you;

manage applications, interviews, assessments, references and recruitment processes;

introduce or represent you to a client where you have authorised us to do so;

prepare aggregated or de-identified market, salary and talent intelligence;

deliver guides, resources and other information you request;

send marketing communications where we have your consent or another lawful basis;

maintain and improve our website, services, systems and communications;

protect our systems and prevent misuse, fraud or security incidents;

meet legal, regulatory, insurance and professional obligations; and

establish, exercise or defend legal claims.
We will not identify you in published market intelligence, commentary, testimonials or case studies without your permission. We may use aggregated or de-identified observations from our work where individuals and organisations are not reasonably identifiable.
5. Candidate representation
Registering with Narrative Talent or discussing an opportunity does not mean that your CV or identity will automatically be shared with clients.
We will ordinarily obtain your agreement before presenting or identifying you to a client for a particular opportunity. We may first discuss your background anonymously or in general terms, provided you are not reasonably identifiable.
If you authorise us to represent you more broadly across an agreed group of organisations or opportunities, we will act within that authority.
6. Technology, transcription and assisted processing
We use technology to administer our work efficiently. This may include tools that assist with organising information, meeting transcription, summarisation, research and drafting.
Candidate and client meetings may be transcribed using Google Meet to help us maintain accurate notes and records. Participants will be informed when transcription is used. Google Meet transcripts are stored in Narrative Talent’s Google Drive and may be used to prepare recruitment notes, candidate profiles, meeting summaries and market intelligence.
We may use AI-assisted tools, including ChatGPT, to help organise, analyse, summarise or draft material. Where these tools are used:

Narrative Talent remains responsible for the work and decisions;
-
outputs are subject to human review;
-
we take reasonable steps to limit the personal information provided;
-
personal information is used only for legitimate recruitment, consulting or business purposes; and
-
we do not rely solely on automated processing to determine whether someone should be hired, represented or rejected.
7. Who we share personal information with
We may disclose relevant personal information to:

clients and prospective employers where you have authorised us to represent you;
-
referees, assessment providers or background-check providers where authorised;
-
contractors and service providers supporting our business;
-
professional advisers, including accountants, insurers and legal advisers;
-
government agencies, regulators, law-enforcement bodies or courts where disclosure is authorised or required by law; and
-
another organisation as part of a proposed sale, restructuring or transfer of Narrative Talent’s business, subject to appropriate confidentiality protections.
Our service providers may include:

JobAdder for candidate and client relationship management;
-
Wix for website hosting, forms, contact management, website analytics and communications;
-
Mailchimp for email marketing and subscription management;
-
Google Workspace, including Gmail, Google Meet, Drive, Docs and Sheets, for meetings, transcription, communication and business administration;
-
OpenAI and ChatGPT for authorised AI-assisted analysis, summarisation and drafting;
-
accounting, document-management and electronic-signature providers; and
-
IT, security and professional-support providers.
These providers may access or process information only to the extent reasonably required to provide their services, support our legitimate business activities or meet legal obligations.
We do not sell or rent personal information.
8. Overseas storage and processing
Narrative Talent is based in New Zealand and provides services across Australia and New Zealand. Some clients, candidates and service providers are located outside New Zealand.
Our technology providers may store or process information in New Zealand, Australia, the United States and other countries in which they or their approved providers operate.
Privacy protections in another country may differ from those in New Zealand or Australia. Where required, we take reasonable steps to ensure overseas recipients and service providers protect personal information through contractual, technical or organisational safeguards.
When we disclose candidate information to an overseas client or organisation, we will do so for the agreed recruitment purpose and with the candidate’s authority where required.
9. Guides and marketing communications
You may choose to subscribe to emails from Narrative Talent featuring salary intelligence, hiring insights, market updates, opportunities and other relevant content.
Where a form clearly presents a combined “download guide and subscribe” offer, submitting that form records your agreement to receive both the guide and the marketing communications described on the form. We retain information about the date, source and consent wording associated with the subscription.
The privacy policy itself does not create marketing consent. Consent is obtained through the relevant form, subscription process, conversation or other recorded interaction.
Our marketing emails will identify Narrative Talent and include a clear way to unsubscribe. You may unsubscribe at any time by:

selecting the unsubscribe link in an email; or

emailing amanda@narrativetalent.com.
We will action unsubscribe requests within the period required by applicable law. We may retain a minimal suppression record so that we do not accidentally subscribe or contact you again contrary to your request.
Unsubscribing from marketing does not prevent us from sending service-related messages, such as communications about a current recruitment process, requested guide delivery or an existing client engagement.
10. Cookies and analytics
Our website uses cookies and similar technologies provided by Wix to:

operate essential website functions;

maintain website security;

remember visitor preferences;

understand how visitors use the website;

measure website and campaign performance; and
-
improve the website and visitor experience.
Wix Analytics may collect technical and usage information such as IP address, browser and device information, referring source, approximate location, pages visited and actions taken on the website.
Narrative Talent also uses Google Analytics to understand website traffic and performance. Google Analytics may collect information such as device and browser details, approximate location, referral source, pages viewed and interactions with the website. This information is used in aggregated reporting and is subject to Google’s privacy practices.
Where required, Google Analytics operates only after analytics cookies are accepted.
We do not currently use Meta Pixel or other advertising pixels. If we introduce additional analytics, advertising or tracking technologies, we will update this policy and the website’s cookie controls as appropriate.
Where required, visitors can accept, reject or manage non-essential cookies through the website’s cookie settings. Cookies can also be managed through browser settings, although disabling some cookies may affect how the website functions.
11. Security
We take reasonable administrative, technical and organisational steps to protect personal information against loss, misuse, interference, unauthorised access, modification and disclosure.
These measures may include access controls, password protection, multi-factor authentication, secure cloud systems, software updates, backups and limiting access to people who need the information for a legitimate business purpose.
No internet transmission or storage system is completely secure. If you believe personal information provided to Narrative Talent may have been compromised, please contact us promptly.
12. Retention
We retain personal information only for as long as it is reasonably required for the purposes for which it was collected, for a related purpose you would reasonably expect, or to meet legal, contractual, insurance or record-keeping requirements.
The appropriate retention period depends on:

the nature and sensitivity of the information;

whether we are actively providing recruitment or consulting services;

whether the information remains relevant to potential future opportunities;
-
our relationship and communications with you;
-
legal limitation periods and financial record-keeping requirements; and
-
whether you have asked us to delete the information.
When personal information is no longer reasonably required, we will take reasonable steps to delete, destroy or de-identify it. Some limited information may remain in secure backups until those backups are replaced in the ordinary course.
13. Accessing or correcting your information
You may ask us to:

confirm whether we hold personal information about you;

provide access to information we hold about you;

correct information that is inaccurate or incomplete;

update your communication preferences;
-
withdraw consent where processing depends on consent; or

delete information where it is no longer required, subject to any legal or legitimate need to retain it.

We may ask you to verify your identity before processing a request. We will respond in accordance with applicable privacy law. In some circumstances, the law may allow or require us to withhold information. If that occurs, we will explain the reason where we are permitted to do so.
14. Privacy breaches
If a privacy or security incident occurs, we will assess it promptly and take reasonable steps to contain and address it.
Where notification is required, we will notify the relevant privacy regulator and affected individuals in accordance with applicable law.
15. External links
Our website and communications may contain links to websites or services operated by other organisations. Narrative Talent is not responsible for the privacy practices of those organisations. We encourage you to review their privacy policies before providing them with personal information.
